Seraph Privacy Notice

1. Who we are

Seraph is a validation-stage product developed under the Unplain Media brand.

In this notice, “Seraph”, “Unplain Media”, “we”, “us” and “our” refer to S&D CASEY BROS LTD.

S&D CASEY BROS LTD is the data controller responsible for deciding how and why your personal information is used.

2. About the Seraph validation

Seraph is currently being tested as a proposed digital helper that may assist people in understanding letters, messages, bills, websites and potentially suspicious communications.

During the present validation stage:

the Seraph website does not provide live automated analysis;
users cannot upload documents through the website;
participation is free;
no payment details are collected;
examples shown on the website are demonstrations only;
eligible participants may be invited to a telephone or video conversation where capacity allows.

The current website is expected to be available at seraph.unplainmedia.com.

3. Information we collect

Information you provide through the website

We may collect:

your first name;
your email address;
your telephone number, if you choose to provide it;
the type of situation you would like Seraph to help with;
whether Seraph would be used by you, a parent or another person;
your preferred method of communication or welcome call;
whether you would like to be informed when a paid version becomes available.

The questions about what Seraph can help with and who would use it will use predefined choices. We do not ask you to provide detailed personal circumstances through the validation form.

Booking and communication information

If you book or arrange a welcome conversation, we may collect:

the date and time of the booking;
your chosen call method;
confirmation or rescheduling information;
emails or messages exchanged with us;
whether the conversation took place.

If you provide a telephone number, we may use it manually to arrange or confirm a booking through WhatsApp or another method you have selected. We will not use automated WhatsApp marketing or automated promotional messages.

Website and technical information

Subject to your cookie choices, we may collect:

your IP address;
browser and device information;
approximate location derived from your IP address;
referring website or advertisement;
pages viewed;
buttons selected;
form starts and completions;
booking activity;
date and time of visits;
campaign information such as UTM parameters, gclid or fbclid.

Research notes

During a welcome or validation conversation, authorised team members may make research notes about:

whether the proposed service is understandable;
what type of problem the participant experiences;
difficulties using the proposed interface;
reactions to the Seraph concept;
general product feedback.

Calls will not be recorded or transcribed by us.

Research notes will be anonymised wherever possible. We will remove names and direct contact details and avoid recording unnecessary details that could identify the participant.

Where a note could still indirectly identify someone, we will continue to treat it as personal information.

4. Information you should not provide

Please do not send or show us:

passwords or PINs;
login or verification codes;
full payment-card details;
banking login information;
complete bank statements;
passport or identity-card numbers;
national-insurance or tax numbers;
cryptocurrency recovery words or private keys;
unredacted medical records;
detailed legal case files;
handwritten signatures;
private information belonging to another person without their permission.

The validation website does not support document uploads.

During a live conversation, we will normally use Seraph’s own recreated examples. These examples may be adapted to resemble the type of situation you describe without using your personal information.

If you voluntarily show your own letter, message or screen:

you should cover information that is not needed;
you remain responsible for deciding what to display;
we will not record the call;
we will not take screenshots;
we will not retain the document or screen;
any temporary copy received during the conversation will be deleted before the call ends.

5. Why we use your information

We use personal information to:

register your interest in the Seraph pilot;
contact you about participation;
arrange and confirm welcome conversations;
understand what people may want Seraph to help with;
assess demand for the proposed product;
test the clarity and usability of the concept;
improve the website and proposed service;
create anonymised research findings;
measure the effectiveness of advertisements;
protect the website and prevent misuse;
maintain appropriate business and consent records;
respond to questions, complaints or privacy requests;
inform you about the paid version only where you have separately requested this.

We will not use your contact details to market unrelated Unplain Media services.

6. Our lawful bases

Where the UK GDPR or EU GDPR applies, we rely on the following lawful bases.

Consent

We rely on your consent when you:

ask to join or hear about the Seraph pilot;
agree to be contacted about participation;
separately ask to be notified about the future paid version;
accept optional analytics or advertising technologies;
voluntarily participate in research or usability testing.

Legitimate interests

We may rely on our legitimate interests to:

evaluate whether Seraph is commercially and practically viable;
improve the website and pilot process;
maintain proportionate administrative records;
protect our website and systems;
prevent fraud, abuse or security incidents;
create properly anonymised research findings;
establish, exercise or defend legal claims.

When relying on legitimate interests, we consider whether our use is necessary and whether your rights and interests outweigh ours.

Legal obligations

We may process information when necessary to comply with applicable laws, lawful regulatory requests, court orders or accounting and legal requirements.

7. Paid-version notifications

The option to receive information about a future paid version is separate from joining the free validation pilot.

The relevant checkbox will:

be optional;
be unticked by default;
not affect eligibility for the free pilot;
apply only to Seraph;
not authorise unrelated marketing.

You may withdraw this request at any time.

If a paid version is not launched within our normal retention period, we will delete the information or request fresh permission before keeping it longer.

8. Cookies, analytics and advertising technologies

The website may use:

Necessary technologies

These support functions such as:

website security;
form submission;
booking functionality;
remembering your privacy choices.

These may operate without optional consent where legally permitted.

Google Analytics

With your permission, Google Analytics may be used to understand:

how visitors find the website;
which pages and examples they view;
which buttons they select;
whether they begin or complete a form or booking.

Meta tracking

If implemented, and only with your permission, Meta Pixel or related Meta measurement tools may be used to determine whether a Facebook or Instagram advertisement resulted in a website visit, pilot registration or booking.

We will not intentionally send your detailed form answers to Meta.

YouTube

The website may contain an embedded YouTube demonstration video.

We will use a consent-controlled or privacy-enhanced embed where technically available. The YouTube player will not be activated before the relevant cookie choice where consent is required.

Your choices

The website will provide:

Rejecting optional cookies will not prevent you from viewing the main website, submitting the pilot form or booking a conversation.

You can change your preferences through the Cookie Settings link in the footer.

The cookie preference tool should display the current providers, cookie names, purposes and durations.

9. Who may receive your information

Access within S&D CASEY BROS LTD is restricted to authorised people who require the information for the Seraph validation.

We may also use service providers for:

website hosting;
website forms and customer relationship management;
calendar bookings;
email delivery;
analytics;
advertising measurement;
video hosting;
telephone and video calls;
website security;
professional legal, accounting or technical assistance.

Providers may include, depending on the tools activated:

GoHighLevel for forms, CRM and booking administration;
Google for Google Analytics, YouTube and Google Meet;
Meta for optional advertising measurement and WhatsApp;
Zoom for video calls;
Apple for FaceTime calls;
our email-hosting provider.

The participant may choose the preferred call platform where available. Each external platform may process information under its own privacy terms.

We do not sell your personal information.

We do not provide pilot contact details to data brokers.

10. Processing outside the UK

S&D CASEY BROS LTD is based in Cyprus. Information provided by UK participants will therefore be processed by us in Cyprus.

Some service providers may process information in:

the United Kingdom;
Cyprus or another country in the European Economic Area;
the United States;
another country in which the provider or its approved subcontractors operate.

Where UK international-transfer rules apply, we will use an applicable legal mechanism, such as:

UK adequacy regulations;
approved contractual safeguards;
the UK International Data Transfer Agreement;
an approved UK addendum;
another legally recognised safeguard.

We will also review the privacy and transfer terms offered by the service providers we use.

11. How long we retain information

We will normally retain:

Pilot contact and booking information

For up to 12 months after your last interaction with Seraph.

We may delete it sooner if:

you withdraw;
you request deletion;
it is no longer needed;
the validation ends and no further contact is appropriate.

Paid-version notification requests

For up to 12 months after your last interaction, unless you withdraw earlier.

If the paid version has not launched by then, we will delete the information or request renewed permission.

Anonymised research notes

For up to 24 months.

Where research information has been genuinely anonymised so that no person can reasonably be identified, data-protection law may no longer apply. We will still delete the notes after the stated research period.

Cookie and analytics information

According to the shortest appropriate retention settings available through the relevant provider and as described in Cookie Settings.

Consent and suppression records

For as long as reasonably necessary to demonstrate your choice and ensure that an opt-out continues to be respected.

Legal or complaint records

For as long as reasonably necessary to resolve the matter or comply with applicable law.

12. Your rights

Depending on the law that applies, you may have the right to:

ask whether we process your personal information;
receive a copy of your information;
correct inaccurate or incomplete information;
request deletion;
restrict certain processing;
object to processing based on legitimate interests;
withdraw consent;
receive certain information in a portable format;
complain to a data-protection authority.

Not every right applies in every circumstance.

We may request proportionate information to confirm your identity. We will not ask for unnecessary identity documents.

As S&D CASEY BROS LTD is established in Cyprus, you may also contact the Office of the Commissioner for Personal Data Protection in Cyprus where applicable.

14. UK representative

S&D CASEY BROS LTD is established in Cyprus and does not currently have a branch or office in the United Kingdom.

The current Seraph activity is a limited validation exercise that does not intentionally collect special-category information through the website. We will review whether a formal UK representative is required before extending the validation, materially increasing its scope or launching the commercial product.

15. Security

We use reasonable technical and organisational measures intended to protect personal information, including:

restricting access to authorised people;
minimising the information collected;
avoiding website document uploads during validation;
not recording participant calls;
deleting temporarily shared examples;
separating optional paid-version permission from pilot registration;
using access controls provided by our service providers.

No website, electronic communication or storage system can be guaranteed completely secure.

16. Automated decisions

We do not use the validation information to make solely automated decisions that produce legal or similarly significant effects.

17. Children

The Seraph validation is available only to people aged 18 or over.

We do not knowingly collect personal information from children.

18. Information about another person

You may register interest because Seraph may be useful to your parent or another adult.

However, you must not provide that person’s private information unless:

they have given permission;
you are legally authorised to act for them; or
another lawful basis applies.

Registering interest for a parent does not give you automatic authority to share their documents, accounts or private communications.

19. Changes to this notice

We may update this notice as the validation develops.

We will make material changes clear and update the date at the top.

We will review and update the notice before introducing features such as:

live AI analysis;
document uploads;
user accounts;
payments;
subscriptions;
family sharing;
automated actions;
processing of sensitive documents.
